Public website visitors, prospective customers, facility administrators, and authorized staff may provide different types of information.

Customer-Controlled Information
Facilities control what authorized users enter
Organizations using MealLock determine which operational information their authorized users enter into the platform.
Customer responsibilities
Each customer is responsible for ensuring it has an appropriate basis to collect, enter, use, disclose, and retain information placed in MealLock. Customers are also responsible for managing their authorized users and complying with their own policies and applicable requirements.
Customer agreements
Customer information may also be governed by a signed subscription agreement, data-protection agreement, Business Associate Agreement, or other written contract. When a signed agreement conflicts with this general website notice, the signed agreement controls for that customer relationship.
When Information May Be Shared
Limited disclosures for operating MealLock
MealLock does not currently sell personal information to data brokers or advertisers.
Technology and service providers
MealLock may share information with providers that support hosting, databases, authentication, application delivery, email, analytics, customer communications, security, and technical operations.
Customer-authorized users
Information entered for a facility may be accessible to other users authorized by that customer, depending on account permissions and the facility’s internal practices.
Professional advisers
Information may be provided to legal, accounting, insurance, security, or other professional advisers when reasonably necessary.
Legal and safety purposes
Information may be disclosed when required by applicable law or valid legal process, or when reasonably necessary to investigate fraud, protect users, address security concerns, or protect legal rights.
Business transactions
Information may be transferred as part of a financing, merger, acquisition, reorganization, sale of assets, or similar business transaction, subject to appropriate safeguards.
Service Providers
Infrastructure and business services
MealLock relies on established providers for cloud hosting, authentication, databases, application delivery, email, customer communications, analytics, and related operations. Providers may include Vercel, Supabase, and HubSpot depending on the feature being used.
Providers and configurations may change as MealLock develops. Service providers receive information only as reasonably necessary to perform their services.
Cookies and Similar Technology
Sessions, functionality, and analytics
MealLock may use cookies, browser storage, or similar technologies for authentication, session management, security, form functionality, preferences, and website analytics.
Restricting necessary browser storage may prevent account or application functionality from working correctly.
Retention
How long information is kept
MealLock retains information for as long as reasonably necessary to provide services, maintain security and business records, resolve disputes, enforce agreements, and meet contractual or legal obligations.

You may contact MealLock to request access to, correction of, export of, or deletion of personal information MealLock controls. Requests may require identity and authority verification.
Some information may be retained when required for security, contractual, technical, dispute-resolution, or legal purposes. Customer users may also need to direct certain requests to their facility or employer.
Security
Safeguarding information
MealLock uses administrative and technical safeguards designed to protect information. However, no online service, device, database, or transmission method can be guaranteed to be completely secure.

Business-focused service
MealLock is a business service intended for senior living organizations and their authorized staff. The public website is not directed to children, and MealLock does not knowingly collect personal information directly from children through its public forms.
Healthcare Information
HIPAA and Business Associate Agreements
This public Privacy Notice does not itself create a Business Associate Agreement or establish that every use of MealLock is subject to HIPAA.
When MealLock is asked to create, receive, maintain, or transmit electronic protected health information on behalf of a HIPAA covered entity or business associate, appropriate written agreements and service configurations may be required before that information is entered.
Customers are responsible for determining which privacy and healthcare requirements apply to their organization and for completing any necessary agreements before entering regulated information.
